If you are planning to reach out directly to alumni, friends, and/or donors (constituents) en masse, the Office of Alumni and Friends will assist you.
The Office of Alumni and Friends will assist in the preparation of all broadcast emails to alumni and friends and will assist in determining the segment of alumni to whom the email will be sent. The department/college will be responsible for preparing the content of the email. Editing by a university editor may be required and will be initiated by the Office of Alumni and Friends. In addition, the Office of Alumni and Friends may include additional content to optimize the engagement opportunity.

Do you have a brief announcement to make? Consider including it in the monthly alumni and friends e-newsletter. Each month, the Office of Alumni and Friends publishes and distributes an electronic newsletter. Over 50,000 alumni and friends receive it. The newsletter is branded and allows recipients to update their information. Messages about upcoming events or news from colleges can easily be included. If you want your news included, just post a news item on your webpage and email the link to alumni.relations@iup.edu. Currently the newsletter is sent during the third week of the month. To be included in the newsletter, we must receive your email at least two days before the release day.
If you would like to communicate with your alumni and friends with a broadcast email, please contact the Office of Alumni and Friends at alumni-relations@iup.edu or complete the "Outreach to Alumni and Friends" form.
If you have identified a funding need and want to solicit alumni and friends (asking for money/gifts/donations), our University Advancement team will assist you. They are "giving" experts who can ensure your efforts attain the highest response possible. The Advancement team will discuss options such as crowdfunding, product sales, fund-raising events, or direct solicitations with you. We will discuss the best ways of outreach that may include using the alumni e-newsletter, segmented email options, or direct mail. Please complete the "Outreach to Alumni and Friends" form and check the box for solicitation. The Vice President of University Advancement must approve all solicitations on behalf of the university. If you would like to review the data on record for alumni, friends, and/or donors (constituents) please complete the online "Outreach to Alumni and Friends" form. Please allow up to 5 working days to review your request. A member of the University Advancement team will contact you if more information is needed. Once approved, the list will be provided as an .XLS file. Only IUP Faculty, Staff, or Administrators may request a list.
If you plan to survey your alumni for any reason, approval from the Institutional Review Board must be obtained. Proof of approval must accompany your "Outreach to Alumni and Friends" form. You may either upload it as part of the form submission, or send it as a separate email to alumni-relations@iup.edu, or drop it in campus mail to "Advancement Services/Sutton Hall."
